The Nexus Forum for Research and Dialogue (NeFRaD) is a United States-based institution dedicated to catalyzing societal transformation through public policy reforms, facilitated by research, dialogue, education, and capacity building initiatives. Our primary objective is to promote stability, economic growth, and democratization within Ethiopia, while fostering harmonious interrelations among nations in the Horn of Africa and beyond. We are presently in search of a motivated and seasoned individual to join our team as an Operations Coordinator on a voluntary basis. This role presents an exceptional opportunity to collaborate

Job Summary:

The Operations Coordinator at Nexus Forum for Research and Dialogue (NeFRaD) plays a pivotal role in providing comprehensive technical and administrative support for the efficient management of human resources and financial matters within the organization. This voluntary position encompasses diverse responsibilities spanning human resources, accounting and finance, business development, information technology, logistics, and facilities management. The Operations Coordinator serves as a key liaison between program units, ensuring seamless coordination and support across all organizational functions.

Responsible For
1. Human Resources:
  • - Assist in the recruitment process, including posting job openings, screening resumes, and scheduling interviews.
  • - Coordinate employee onboarding and orientation processes.
  • - Maintain employee records, including contracts, performance evaluations, and training documentation.
  • - Support employee relations initiatives and resolve HR-related queries or concerns.
2. Accounting and Finance:
  • - Assist in budget preparation and monitoring expenditure across programs and departments.
  • - Process invoices, reimbursements, and financial transactions accurately and in a timely manner.
  • - Ensure compliance with financial policies, procedures, and regulatory requirements.
3. Business Development:
  • - Provide administrative support for proposal development and grant applications.
  • - Assist in the preparation of project budgets and financial narratives for funding proposals.
  • - Coordinate communication with potential partners, donors, and stakeholders.
  • - Maintain a database of funding opportunities and assist in donor prospecting activities.
4. Information Technology:
  • - Serve as a point of contact for IT-related issues and provide basic troubleshooting support.
  • - Assist in the maintenance and updating of hardware, software, and IT infrastructure.
  • - Ensure data security and compliance with IT policies and procedures.
5. Logistics and Facilities:
  • - Coordinate logistics for events, meetings, workshops, and conferences.
  • - Manage office facilities, including maintenance, supplies, and equipment inventory.
  • - Assist in negotiating contracts with vendors and service providers.
  • - Ensure compliance with health and safety regulations in the workplace.
6. Support to Program Units:
  • - Collaborate with program units to understand their operational needs and provide tailored support.
  • - Serve as a central point of contact for operational queries and requests from program staff.
  • - Facilitate cross-departmental collaboration and communication to enhance organizational efficiency.

Educational Requirements

Qualifications and Requirements:

  1. Bachelor's degree in management, business administration, human resources, finance, or a related field.
  2. Prior experience of at least 2 years in administrative or operational roles, preferably in a nonprofit or NGO setting.
  3. Strong organizational and multitasking skills, with the ability to prioritize and coordinate tasks effectively.
  4. Excellent communication and interpersonal skills.
  5. Proficiency in Microsoft Office Suite and familiarity with HRIS, accounting software, or other relevant tools.
  6. Ability to work independently and collaboratively in a fast-paced environment.
  7. Conviction in the efficacy of strategic, evidence-based, citizens-backed, and collaborative public policy reform processes.
  8. Willingness to commit at least 12 hours per week.
  9. Recruitment based on a rolling basis with the start date being as soon as possible.
